About the Role
This role supports the Customer Operations Supervisor with the processing of customer sales orders from receipt of customer Purchase Order through to releasing the order for shipping. This role will be based at our office in Dalgety Bay.

Role Specific Responsibilities:
Assist in the processing of customer sales orders from receipt of customer PO through to releasing the order for shipping. This involves, but is not restricted to:

  • Checking customer PO details and pricing and highlighting any discrepancies
  • Accurately entering customer orders to the order system (Epicor ERP)
  • Checking availability and advising the customer of any stock-related issues and confirming shipping dates
  • Creation of shipping and export documentation as required
  • Verification and audit of Service Level Agreements start/end dates
  • Dealing with any special logistical requirements or requests
  • Supporting the Operations Manager with daily reporting tasks.
  • Processing customer loan and RMA requests and following up where necessary.
  • rocessing and issuing of customer NDAs and other customer documentation.
  • Providing a fist point of communication both written and verbal for customers both internal and external.


Provides holiday cover to Office Administrator in the following areas:

  • Assist with the smooth running of the Exterity reception and meeting room areas including meeting and greeting visitors to HQ and providing concierge service for internal and external visitors
  • Answering the main telephone line professionally, redirecting calls and taking messages as required
  • Provide general administration support as required to ensure the smooth running of the business
  • Date stamping and efficient distribution of company mail
  • Manage and replenish stationary, office and kitchen supplies as required
  • To establish & maintain good customer relationships and provide an excellent standard of service to customers (both internal and external)
  • Maintain and update customer records on the company IT systems
  • Any other tasks as required to ensure the smooth running of the Operations Team


Key Dimensions of the role:

Qualifications

  • Good standard of higher level education
  • HNC/HND or equivalent in a business studies/ numerical subject desirable but not essential


Knowledge/Skills

  • Demonstrate general experience of working in a fast paced and dynamic customer facing environment.
  • Able to show from previous work experience use of Microsoft Office software, particularly Excel and Word


Personal qualities

  • Able to show from previous work experience strong communication skills both verbal and written and in particular is confident talking on the phone and face to face
  • Driven to provide excellent customer service to internal and external customers
  • Strong attention to detail and ability to work with a high level of accuracy
  • Ability to work on a number of different tasks at one time and see them through to completion in a timely manner
  • Have the flexibility and willingness to pitch in as required to meet the immediate needs of the team and the company overall
