About the role

We are recruiting an Office Manager & HR Assistant, reporting to the Director of Human Resources France. You will participate in the improvement of certain HR processes in France, in support of the local team.

You will be responsible for general services at VITEC France's Châtillon site and will interact with employees on a wide range of HR-related issues, including internal communications, administrative support for recruitment and training, and technical and regulatory support in the field of occupational health and safety.

You will contribute to the development and continuous improvement of our internal HR policies and to a good social climate (through the organization of HR events) and ensure their implementation alongside members of the HR team.

Main tasks include :

Operational management of General Services, organization & management of events and administrative & technical support to the HR team :

1. HR communication :

• Internal and external communication (management of dynamic screens, French newsletters, HR breakfasts, social networks, surveys, internal memos...)
• Events (retirement party, VITEC France trip, organization of annual evening, any QVCT-related action, etc.).
• Occasional organization of internal workshops/meetings (interdepartmental).
• Mission Handicap (implementation in terms of communication and costs/vs Agefiph tax purchases in direct liaison with the finance department) and any subject relating to regulatory obligations involving communication.

2. General Services :

• Management of general services (purchase of office supplies/Vitec gifts, request for parking space availability, management of building access keys, VITEC/cantine badges, switchboard).
• Requests for service and monitoring of external service providers (electricians, air conditioning, distributors, etc.), archiving of reports.
• Supervision of “Green” operations (e.g. waste collection and recycling), once or twice a year.

3 Administrative support for HR team :

• Administrative support for the integration of new employees: legal and material documents, control of the integration procedure in liaison with IT & HRIS (personnel files)
• School relations: sourcing schools, monitoring partnerships and making proposals.
• Administrative support for training: monitoring the implementation of the annual plan, budget, invitations, answering questions, etc…
• Support in identifying recruitment needs, preparing budgets (with follow-up), pre-selecting CVs for certain positions...
• Occupational health & safety: participation in the updating of legal obligations (postings, fire drills & access plans, various registers, DUERP, liaison with the competent employee, monitoring of regulatory training, vaccination campaign, etc.).
• Answers to miscellaneous HR questions, 1st level generalist

This list is not exhaustive and may evolve according to the needs of the organization and the potential of the successful candidate.

About you

You have a higher technical education (BAC+2/+3) and 2 to 3 years' initial experience in a company, including internships, with initial experience of general services, and you would like to move into the Human Resources field in a fast-growing technology company.

You are organized and have a sense of priorities, good written and oral communication skills, good interpersonal skills, very good use of office automation tools, an appetite for new technologies and a desire to develop in highly versatile fields.

• Fluent English B2/C1 (international company).
• Fluent French/mother tongue.
